Privacy policy
Last updated: 23 October 2026
This policy explains how we collect and use your personal data when you visit this website or send us an enquiry. We keep it simple: we only collect what we need to answer you and organise your party.
Who we are
This website is run by Pixel London Gaming Ltd, trading as Pixcade (formerly Pixel Gaming London), a company registered in England & Wales with company number 14277410. We are the data controller for the personal data described here.
Contact for anything about your data: info@pixelgaminglondon.co.uk
What we collect
When you send the booking enquiry form, we collect the details you choose to give us:
- your name and email address (required)
- your phone number (optional)
- your event date (required), venue postcode and number of players
- the package and add-ons you are interested in
- anything you write in the message box, for example the type of party or age group
Please don't include sensitive information (such as health details) in your message unless it's needed for your event, for example an allergy relevant to food add-ons.
If you email us directly, we receive your email address and whatever you include in your email.
How we use it
- to reply to your enquiry, check availability and send you a quote
- to manage your booking if you go ahead, including planning, setup on the day and any follow-up
- to keep basic business records, such as invoices, where the law requires it
We don't use your details for marketing, and we never sell them.
Our lawful basis
Under UK data protection law we rely on:
- steps before entering into a contract, and performing the contract, when you ask us for a quote or book a party with us;
- legitimate interests, for answering general questions and keeping a short record of our correspondence;
- legal obligation, for keeping financial records of bookings.
Who we share it with
Your enquiry is sent by email to our business inbox. Our website and email are hosted by our service providers, who process data only on our instructions. If you ask for an add-on supplied by one of our local partners (for example food or an entertainer), we'll only share the details they need, and we'll tell you first. We don't otherwise share your data, unless the law requires it.
How long we keep it
- Enquiries that don't turn into a booking: deleted within 12 months of our last contact.
- Bookings: kept for up to 6 years after the event, to meet accounting and tax requirements, then deleted.
Cookies and analytics
This website doesn't use analytics, advertising or tracking cookies, and doesn't load any third-party trackers. When you submit the enquiry form, a single strictly necessary session cookie is set to protect the form from spam and repeated submissions. It contains no personal details and is deleted when you close your browser.
Links to Instagram and TikTok take you to those platforms, which have their own privacy policies.
Your rights
Under the UK GDPR you have the right to:
- ask for a copy of the personal data we hold about you
- ask us to correct anything that's wrong or incomplete
- ask us to delete your data
- ask us to restrict how we use it, or object to us using it
- ask us to transfer data you gave us to you or another organisation (data portability)
To use any of these rights, email info@pixelgaminglondon.co.uk. There's normally no charge, and we'll reply within one month.
Complaints
If you're unhappy with how we've handled your data, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner's Office (ICO), the UK's data protection regulator, at ico.org.uk/make-a-complaint or on 0303 123 1113.
Changes to this policy
We may update this policy from time to time. The latest version will always be on this page, with the date it was last updated.
